A SHORT SUMMARY OF THE POSITION’S FUNCTIONS
- The job is located in Venice, Italy, at the UNESCO Regional Bureau for Science and Culture in Europe.
- The Programme Assistant assists in the management of the Science Unit’s daily operations and supports the organization and delivery of program activities and projects while working under the general supervision of the Director of the UNESCO Regional Bureau for Science and Culture and the direct supervision of the Head of the Science unit.

Extended Description
- Ensure that letters and other communications are prepared (in Italian, English, and French) and sent out on time. Draft general correspondence in accordance with the standard formats and procedures established within UNESCO and whenever necessary, translate correspondence formally from Italian to French or from French to English. Receive, examine, classify, organize, and disperse correspondence and documents; maintain extensive distribution lists; answer to requests for data and reports; assess the significance and urgency of documents received; create correspondence and emails; and establish the importance and priority of documents received. Maintain databases and information systems on physical and electronic media by storing, retrieving, and updating information. Using the relevant hardware and software, assist in creating the presentation materials.
- Respond to inquiries and follow up on routine unanswered questions; forward information and inquiries as necessary; inform supervisors and coworkers; schedule appointments, welcome visitors, and take phone calls; and respond to inquiries and/or direct them to the appropriate specialist or service. Communicate with various internal services to get further details or clarifications. Give temporary or short-term employees instructions on standard office practices, automated systems, computer programs, etc.

- 3 years or more of relevant experience working in administrative or secretarial roles.
Languages
- excellent command of either French or English and competent command of the other.
- outstanding command of Italian.
