The Grant Manager role will closely work with the Deputy Director of the mission to oversee, monitor, and provide ongoing assistance to the management of the mission’s grant portfolio. Throughout the whole lifespan, from the search for and negotiation with donors and possible partners to the creation of proposals and the cycle of implementation, this includes accompaniment and quality control. The Grant Manager should accompany and oversee the latter’s technical, financial, and logistical planning, paying close attention to delays and under-implementation as well as to quality control and adherence to grant regulations. They should also ensure good accountability, including stakeholder communications and donor reporting.

The Grant Manager will be required to follow established HQ and mission-related processes, oversee the development of high quality funding proposals, concept notes, and reports in accordance with donor regulations, and make sure that all documentation complies with Action Against Hunger’s internal standards.

The main duties of your position will involve

Goal 1:

Managing grants for ongoing initiatives Tasks ?Update the details and timetable for reporting requirements and proposal creation, make sure key staff members are aware of it and adhere to deadlines, and constantly communicate with DCD, the coordination team, and HQ.u ?Follow up on the prompt application of all planning tools and procedures (technical, financial, and logistical), as well as MEAL for each contract (paying attention to the harmonisation of indicators and means of verification), for timely and frequent internal and external accountability.Make sure complete donor files are created, updated often, and made available for use. For donor meetings and visits, provide briefing materials and facilitate the creation of pertinent outside communication tools.Work together on issues of donor and contractual compliance with the MP3 team, in particular the Admin-Fin Coordinator, Logistics Coordinator, and Compliance Technician, in respect to reports, audits, and necessary documentation.serve as the main point of contact for all external contacts with donors about grant administration and reporting, including the creation of communications and visibility materials on implementation progress.With a focus on grant administration, donor requirements in accordance with the relevant rules, and important accountability concerns, support is provided in the identification, implementation, and follow-up of MP2 technical teams’ capacity building needs.

Objective 2:

Finding, organizing, composing, and submitting high-quality and on-time proposals and concept notes while adhering to donor requirements and Action Against Hunger validation procedures. Tasks ?Communication with HQ employees (across the Action Against Hunger International network, including the Donor Relations Unit and Madrid HQ MP2) on potential financing options, as required, including donor mapping and opportunities, should be done in conjunction with the country director.Design, coordinate, collect inputs, and draft complete proposals (including logical framework, technical description, budget, and other necessary annexes) or Concept Notes to be submitted to donors under the supervision of the Deputy Director and in consultation with the technical, logistical, and admin-fin coordinators and Country Director.Ensure and keep an eye on the design of project proposals submitted in response to requests for proposals or on their own initiative, while also adhering to donors’ priorities, interests, and frameworks (including their own rules, policies, and languages). Where possible, take part in early technical discussions with donors.In coordination with mission management, ensure and oversee that project proposals and/or concept notes address and contribute to the Central America mission’s Strategic Framework, and ensure respect for Action Against Hunger’s standard operating procedures and the incorporation of cross-cutting approaches (gender, climate crisis/environment, and protection) in accordance with Action Against Hunger policies.In order to support the mission’s budget planning, coordinate with funders or headquarters for follow-up on and monitoring of submitted proposals. Coordinating any donor feedback will help to ensure prompt delivery of the necessary comments.

Objective 3: Timely internal and external accountability to stakeholders, donors, and target populations, as well as quality control of reporting Tasks ?Work with the many pertinent areas to coordinate donor reporting processes in order to collect data and ensure the timely submission of high-caliber programmatic, technical, and financial reporting?Help the BoPs and technical teams prepare donor reports and follow up with partners for quality inputs. Ensure that reports are compliant with donor requirements, meet quality standards, and are submitted on time. The caliber of English-language reports supplied should receive special attention. ?Make sure that the mission’s reporting standards for quality and timeliness are upheld, and that the processes are effective and streamlined.In order to improve responsibility to stakeholders, donors, and beneficiary populations of current programs, review and capitalize on recommendations and lessons gained. This includes the creation of materials for accountability and communication that go beyond the required reporting to funders.
