In order to effectively and efficiently support the designated departmental team, the IFC’s Cairo office is looking to hire a highly motivated Team Assistant. The person in this position should be willing to step up and enthusiastically take on new duties and challenges in order to help the Egypt Country Office CMU and/or Industry Departments operate and coordinate administratively effectively.

obligations and responsibilities:

  • Offer the departmental team high-quality support by scheduling appointments, keeping track of documents requiring signatures or approval, handling incoming correspondence, responding to internal and external inquiries, and drafting and managing routine correspondence while upholding departmental and institutional policies.
  • Manage the responsibilities of the Cairo Receptionist for IFC, which include greeting guests, taking calls, booking conference rooms on demand, allocating drivers’ responsibilities while keeping track of their whereabouts and actions, and assisting with the management of incoming and outgoing courier/pouch processing.
  • Offer specialist assistance in a particular area or areas, such as task management, purchasing, database management, information technology, editorial support, presentation and report preparation, etc.
  • Assist IFC missions visiting Egypt with everything from meeting scheduling to transportation planning to agenda updates.
  • Offer assistance with a variety of activities, including keeping track of and communicating with local suppliers and contractors on the delivery of negotiated services and processing payments and costs for projects, consultants, and events.
  • Organize and oversee tasks and operations to guarantee that IFC policies, management judgments, and instructions are correctly carried out.
  • Recognize and address a variety of challenges and problems as they appear, which frequently calls for interpreting current practices and formulating the most appropriate application on one’s own.
  • Fill in for other Administrative & Client Support (ACS) coworkers when they are away or the office is particularly busy.
  • Carry out special assignments that the Country Management Unit or the appropriate Country Office supervisor may give you.

Selection Standards

  • A bachelor’s degree and at least two years of relevant work experience, or an equivalent mix of training and experience.
  • Relevant work experience in a sizable international corporation and in the private sector.
  • Expertise with office productivity software, such as Microsoft Office, Excel, PowerPoint, Word, and Outlook.
  • Extensive tact and judgment while handling, processing, and discussing sensitive and confidential information.
  • High levels of initiative, adaptability, and dependability.
  • Outstanding interpersonal abilities to connect with a variety of people both internally and outside and deal with a variety of situations that call for tact, diplomacy, and sound judgment.
  • Teamwork (collaboration) and inclusion – Works effectively with other team members to produce quality work products while exhibiting respect for opposing viewpoints.
  • Excellent verbal and written communication abilities to draft communications and guarantee the caliber of written outputs.
  • The capacity to do excellent work under time constraints.
  • Skillful time-management and planning abilities.
  • Strong Arabic and exceptional English (verbal and written), including the capacity to design different types of correspondence and edit and translate materials using appropriate grammar, punctuation, and style.
  • Willingness to take on sporadic travel and handle ad hoc responsibilities.
