responsibilities and obligations

  • Provide administrative and logistical support for program development and management.
  • the provision of administrative assistance in the creation of budgets, proposals, and work plans for program implementation;
  • Give the executing agencies technical direction on the regular reporting and delivery of program-supported activities and funding;
  • assemble data for program/project audits and aid in implementation of audit recommendations;
  • Reviewing project and program data for the ESARO website;
  • Identify sources, collect facts and information, and organize it for use in creating documents, policies, speeches, and position papers;
  • assist the regional coordinator with the partner agreement in all respects;
  • Support the coordination of the request for proposals, including setting up technical review committees and determining the partners’ capacity;
  • support the coordination, assessment, and oversight of the financial and narrative reports submitted by implementing partners;
  • Partner education on RBM and monitoring of implementation.
  • Give the Program’s financial management administrative support:
  • Create projects in Quantum, draft budget modifications, update project awards and statuses, as well as assess unused money and a project’s operational and financial close;
  • the provision of administrative assistance in the completion of FACE forms and the monitoring of program and project finances and budget planning;
  • examining financial information, creating non-PO vouchers for development initiatives;
  • Process consultant payments;
  • maintain the internal spending control system;
  • For development projects, create requisitions in Atlas and log good receipts there.
  • help with the creation and maintenance of cost-recovery bills in Atlas.
  • Give the program administrative support:
  • Make the necessary plans for the organization of meetings, workshops, events, and missions in terms of logistics, administration, and finances;
  • Organize the Programme Team’s travel, including travel requisitions and claims;
  • assemble briefing documents and public information resources;
  • assemble briefing materials, and create presentations using Powerpoint and other software;
  • Whenever necessary, give any junior staff members direction and training.
  • Administrative assistance for resource mobilization
  • Create agreements for cost-sharing and other purposes; keep track of contributions made as part of the RO resource mobilization initiatives;
  • Organize, gather, and process data from the ESARO project team and donors for use as inputs in databases and publications.
  • Promote knowledge creation and knowledge exchange:
  • If asked, create background materials, briefings, and presentations pertaining to EVAW;
  • Organize meetings, discussions, advocacy forums, and strategic engagement of various stakeholders, notably with civil society, women’s rights organizations, and feminist networks in order to support the Regional Coordinator in implementing the program;
  • Offer technical assistance and logistical support for the planning of events and participation in international, regional, and advocacy forums;
  • provide administrative assistance with the synthesis of best practices and lessons learned in program management and finance;
  • Give administrative assistance to the planning of training sessions for partners and office personnel on program and operation-related topics.

  • Education and licensing:
  • Secondary schooling must be finished.

Experience:

  • a minimum of six years of progressively responsible experience in management or program support;
  • It is necessary to have prior experience with several office software programs in a computer setting;
  • It would be ideal if you had experience using ERP systems, ideally Oracle cloud;
  • It’s necessary to have prior team support experience;
  • Experience supporting initiatives promoting gender equality or the eradication of violence against women is preferred;
  • It would be ideal if you had prior program assistance experience financed by the EU.

Language prerequisites

  • English proficiency is necessary;
  • It would be ideal to have knowledge of another UN official working language.
