Role and Project Overview:
In order to strengthen the efficacy of support for climate change action and disaster resilience in the Pacific, Australia formed the Australia Pacific Climate Partnership (the Climate Partnership) in 2018. It builds on well-established regional and international knowledge regarding efficient climate mitigation, adaptation, and broader catastrophe resilience. It also depends on long-running climate change and disaster information programs.
The Climate Partnership seeks to promote climate and disaster-resilient development throughout the Pacific through the following goals: – Australian aid investments in the region are informed by disaster risk and climate change; – Australian supported climate change information is current and persuasive; Australia is respected as a partner in the Pacific region’s fight against climate change.
When the Partnership first began, the Climate Partnership Support Unit was created, and its mandate was later expanded for the years 2022–2024. Technical experts from the Support Unit, supported by an Operations team, collaborate with DFAT aid investment program managers and their implementing partners to integrate climate change and disaster risk reduction, broker and improve access to actionable climate change and disaster knowledge in the region, and carry out program-wide monitoring, evaluation, and learning. The Support Unit is based in Australia and the Pacific.
The Australian Department of Foreign Affairs (DFAT) provides funding for the Climate Partnership, which is carried out by Palladium.
Summary for Position
The Project Coordinator will assist the Climate Partnership’s operational, administrative, and logistical needs while reporting to the Operations Manager. The primary responsibility of the position is to make sure that Palladium complies with its contractual commitments, the company’s policies and SOPs, as well as the rules and regulations of the Department of Foreign Affairs and Trade (DFAT).
primary responsibilities and duties:
- Assist the Climate Partnership’s project management and operational activities to support the timely and effective implementation of programs.
- Take the initiative while having the Operations Manager’s support to carry out procurement activities that adhere to the principles of the Commonwealth Procurement Rules, such as creating and publishing tender documents, evaluating bids, contract negotiations, and awarding.
- Aid in the creation of contracts, grants, and task orders so that suppliers and the Expert Panel can be involved in the process successfully.
- Assist the Head Office staff with invoicing, as well as finance activities including forecasting and reporting, to assist the Climate Partnership’s sound financial management.
- Oversee the day-to-day operations of the Climate Partnership Help Desk, including keeping the system current (new requests), monitoring timelines and progress, updating the team frequently, and putting in place an online poll to gauge service quality.
- Assist with team logistics, including scheduling and planning meetings, workshops, and roundtables; making arrangements for domestic and foreign travel; ensuring employee health and safety; and providing security (as needed).
- Support the management of human resources, including hiring, background checks, onboarding and offboarding (including required compliance training), record keeping, and leave administration.
- Offer project support to DFAT and the Climate Partnership’s communications in order to showcase best practices and inform more people about Australia’s Pacific climate action.
- Support the writing of the Terms of Reference for Expert Panel tasking in conjunction with the Climate Partnership’s Advisers, suggest suitable experts, conduct post-assignment debriefs, and support adviser performance evaluations.
- Coordinate the database for the Expert Panel in order to monitor and track participation, contract terms, resource availability, and extensions. You should also regularly update the team on the status of deliverables and contract conditions.

- Any additional responsibilities that the Operations Manager may properly assign in light of the incumbent’s training and experience.

Project Coordinator is under the supervision of the Operations Manager and works closely with the Team Leader, Deputy Team Leader, and other team members. with the Palladium Head Office Team in coordination
Selection Standards
- Undergraduate degree or comparable credentials with relevant work experience count as qualifications.
- Experience putting operational policies and procedures into practice, including managing contracts and procurement as well as finances and human resources.
Experience and Knowledge
- Experience managing client demands proactively, reporting on operational schedules, and providing help desk services, as well as experience with program coordination.
