About the Bloomberg Philanthropies (BP) Joint Programme

The Joint Program, funded by Bloomberg Philanthropies, brings together C40 and the Global Covenant of Mayors to work with partners on a shared agenda to:

 Increase cities’ access to finance for projects that combat the climate crisis and improve resilience;
 Ensure nation states upgrade their national climate commitments as a result of working with cities, with particular focus on city climate action being included in nation states’ climate action plans which are due in 2025 (Nationally Determined Contributions or NDCs);

 Improve the quality and ease of access to climate data so cities can start implementing the most impactful climate actions as quickly as possible.

About the C40 City Finance Programme (CFP)

This role will sit in C40’s City Finance Programme (CFP) which primarily focuses on the city-facing capacity building and technical support elements of the BP Joint Programme work plan. The CFP works to address a range of municipal climate finance challenges, at different stages of project maturity, and across major urban infrastructure groups: clean energy, zero-carbon buildings, public transportation, waste and resilience.

Position Description

The Project & Events Officer will be an integral part of coordinating, delivering and reporting on projects and events across the City Finance Programme, under the BP Joint Programme. They will be responsible for supporting the administration and execution of deliverables to effectively achieve the programme’s goals and as such should be a proactive individual with strong organisational skills, with a particular interest in the climate agenda.

The Project & Events Officer will perform a wide range of activities spanning from coordination of virtual and in-person meetings to on the ground delivery of events. They will work with colleagues across C40 and around the world, supporting cities throughout all of C40s regions.

Responsibilities: Support the delivery of the CFP’s projects and programmes under the BP Joint Programme:

 Supporting the team in coordinating internal and external meetings, webinars and working groups.
 Provide administrative support to the CFP team such as completing procurement and payment paperwork and processes on schedule.
 Conduct ad-hoc subject-area research to inform CFP deliverables in the areas of clean transportation, energy, adaptation and waste finance for cities (prior knowledge of these areas is beneficial but not required).
 Support the CFP Project Manager to track progress of BP Joint Programme activities, deliverables and outcomes, communication of progress across C40 and GCOM collaborators, and input into monitoring and evaluation platforms.
 Maintain a programme ‘tracker’ in google sheets tracking key information on the programmes deliverables.
 Work with the CFP Senior Project Manager and GCOM to coordinate communications activities and prepare communications materials (including fact sheets, website, and social media content) that align with the BP Joint Programme comms strategy.
 Liaising with partners and other C40 teams for general coordination, and to request input and approvals for publications and other materials.
 Support the team with implementation of internal policies e.g. travel risk assessments.
Support the delivery of the CFP’s events under the BP Joint Programme:

 Work with the CFP team, teams across C40 and GCOM, and event partners to plan and deliver virtual and in-person events including conference sessions, finance academies, investor roundtables, workshop ad-hoc events.
 Responsible for executing logistics elements of large and small events including booking event space, catering, audio-visual equipment, translation services, branded collateral/signage, agenda formatting, printing, website updates, managing invitation lists and RSVPs, procurement and contracting of service providers (including technical consultants).
 Support event leads to develop a run of show, panellist and speaker briefing documents, and collating presentations.
 Be the primary contact for cities and speakers on logistics responsible for coordinating all travel for city officials, staff, and technical experts. This may include booking flights and accommodation, requesting and processing financial reimbursements, visa coordination, logistics pack creation, and handling ad-hoc requests for information from cities or technical experts. eGjm8Kp u3BcM
 Assist on the ground to manage smooth delivery of major events. May involve some international travel.
 Track expenditure from events into a centralised budget sheet.
 Post-event support liaising with technical experts and suppliers to arrange invoice payment and expense reimbursement, uploading content to the C40 Knowledge Hub and website, contributing to outcomes reports, and preparing written guidance for future events.
Person Specification:

 Passionate about the missions of C40, GCOM and the Bloomberg Philanthropies (BP) Joint Programme.
 Have a strong interest in helping cities overcome their sustainability challenges, particularly municipal climate finance challenges.
 Demonstrable experience in events planning and delivery. Relevant government, business, research and/or NGO sector experience is desirable.
 Experience tracking information in platforms such as google sheets and salesforce.
 Ability to learn and apply C40 internal policies e.g. travel risk assessments, procurement, contracts and payment procedures.
 Effective communicator and collaborator who is able to manage their time, prioritise activities and accomplish tasks with minimal oversight.
 Experience coordinating projects across multiple organisations, teams or stakeholders.
 Highly organised, task-driven and detail-oriented to successfully plan and coordinate multiple tasks to deliver quality results within tight timeframes.
 Demonstrated problem-solving and interpersonal capabilities coupled with an outcome-oriented approach.
 Effective written and oral communication in English. Other languages spoken in C40 cities are also desirable, such as Spanish, Portuguese, French, Mandarin, Bahasa Indonesian, Hindi etc.
 International experience, particularly working across different cultures, languages and time zones is desirable.
 Demonstrated ability to work independently and within a team.
 Ability and willingness to work cooperatively with others.
 Utmost discretion when dealing with confidential and sensitive information.
